POSITION: Executive Assistant

JOB DESCRIPTION:

To provide high-level executive, administrative, and operational support to the Owner and Clinical Director of a busy dental practice, ensuring the efficient management of business operations, strategic initiatives, communications, projects, and executive responsibilities while supporting the continued growth and success of the organization.

Key responsibilities include:

●      Manage and maintain the executive calendar, including meetings, appointments, professional engagements, conferences, and business-related travel arrangements

●      Coordinate and schedule meetings with vendors, consultants, contractors, financial advisors, legal professionals, marketing agencies, and other business partners

●      Prepare, review, and organize business correspondence, reports, presentations, proposals, and confidential documents

●      Act as a liaison between the executive and internal team members, external stakeholders, suppliers, and professional service providers

●      Screen, prioritize, and respond to communications on behalf of the executive when appropriate

●      Coordinate and monitor special projects, ensuring timelines, deliverables, and objectives are achieved

●      Assist with vendor management, including obtaining quotes, coordinating services, and maintaining supplier relationships

●      Monitor and track business expenses, invoices, subscriptions, and service agreements for management review

●      Coordinate recruitment activities, including job postings, candidate communications, interview scheduling, and onboarding logistics

●      Support human resources administration, including maintaining employee records and coordinating training programs

●      Maintain strict confidentiality regarding business operations, financial information, employee matters, patient information, and strategic initiatives

●      Collaborate with the office manager, treatment coordinator, and leadership team to support efficient daily operations

 

MINIMUM JOB QUALIFICATIONS AND EXPERIENCE:

●      Completion of a college diploma or university degree in business administration, office administration, or a related field.

●      One (1) to two (2) years of experience in an administrative or executive support role.

●      Strong interpersonal skills, with demonstrated comfort liaising and coordinating with vendors, contractors, and other external business partners.

●      Experience with practice management or office administration software is an asset.

●      Proficiency with Microsoft Office and Google Workspace applications.

●      Strong written and verbal communication skills.

●      Ability to handle confidential business and financial information with discretion and professionalism.

 

SALARY: $36.00 per hour
